5 AI Workflows Every Gym Owner Should Steal

If you’re only using AI to write Instagram captions, you’re leaving about 95% of its power on the table.

Most gym owners know AI can do more. They just don’t know what.

So Two-Brain founder Chris Cooper and CEO John Franklin sat down and shared the AI workflows they’re actually using right now to run their businesses.

Here are five plays you can copy this week.

Play 1: Make a Week of Content in 30 Minutes

Chris used to spend hours creating content. Now one short recording becomes a full week of marketing.

Here’s his workflow:

  1. Pick topics. Chris asks Claude what his audience cares about right now. It’ll suggest topics like peptides or testosterone replacement therapy, things he doesn’t think about every day. He also listens to what his clients ask in the gym.
  2. Spar with AI. He gives Claude his opinion on each topic and asks what the research supports. Sometimes he’s wrong, and Claude pushes back.
  3. Get a script. Once his thinking is dialed in, Claude writes a tight script so he doesn’t wander off on tangents.
  4. Record once. He records a 10- to 15-minute video on Zoom.
  5. Let Descript do the heavy lifting. Descript polishes the video, pulls the audio for the podcast, publishes to YouTube, writes the YouTube description and cuts a three-minute highlight reel for Reels and Shorts.
  6. Back to Claude. From the same content, Claude creates an Instagram carousel, a blog post, a Google Business Profile post, Facebook and LinkedIn posts, a podcast summary and emails.

Chris copies everything into the right spots, and he’s done for the week.

He often records his thoughts on the drive to work, so the “work” happens while he’d be sitting in traffic anyway.

Play 2: Let AI Run the Software You’re Not Using

A common complaint from gym owners is: “I know my software can do all this stuff, but I only use about 5% of it.”

Two tools are changing that.

The Claude browser extension. If you use Google Chrome, you can install Claude as a browser extension. You explain what you want, and Claude opens the tabs and does the work in your browser for you.

John’s example: Say you want your Facebook pixel to fire every time someone books on your calendar. That used to mean work in Facebook, code on your website, changes in your CRM and probably a Zapier connection. It took a two-hour tutorial and five more hours of pulling your hair out.

Now you can just tell Claude, “When someone hits the confirmation page on my calendar, I want to build a campaign around that,” and it does the steps for you.

MCP servers in gym software. Top gym management platforms are adding MCP servers, which connect your software’s data to AI tools like Claude. At a recent conference, Chris got a demo from the Wodify team. You can ask, “How can I boost my revenue by $1,000 a month?” or “How can I market to get five more clients?” and get answers based on your numbers.

Gym owners are already building things with it that the software company never thought of. One Wodify gym owner built their own version of “Spotify Wrapped” for members.

Play 3: The $5-a-Day Facebook Ad Experiment

This one started as a quick demo video.

Chris was filming a tutorial for first-time entrepreneurs and tried Meta’s Advantage+ system for the first time. For illustration, he set up two campaigns at his own gym:

  • $5 a day to boost one post with a “Send Message” button. He used a single photo from the gym and a post about seed oils.
  • $5 a day for a lead campaign using Meta’s built-in lead form. He asked Claude to write three Facebook ad posts for lead generation. One opened with a line like “I know you keep saying I’ll start Monday.” He paired the copy with photos of a client and let Meta test three variations.

He pressed a button, ticked a box and moved on.

Two days later, his business partner, Ryan, emailed him: “What did you do? Did you hire a new agency? Did you quadruple our ad spend?”

The gym had 28 new conversations in two days.

“Starting conversations was easy on Facebook in 2018,” Chris said. “Then it got hard. Now it’s easy again.”

Play 4: Turn Your Sales Conversations Into a Database

Every sales call at Two-Brain happens on Zoom and gets transcribed. For years, those transcripts sat untouched.

So John built a workflow:

  1. Each transcript goes into Claude.
  2. Claude pulls out the answers to questions such as: What content triggered the call? How did the person first hear about Two-Brain? Have they talked to competitors? What’s their main pain point? What’s their business model and revenue range?
  3. The answers go into a Notion database.
  4. John asks Claude questions about the whole database. What percentage of callers also talked to a certain competitor? What percentage offer small-group or semi-private training?

The answers come from real data.

How to do this in your gym: First, get consent to record. Use a wearable AI recorder like Plaud. It’s a small device about the size of a credit card that records and transcribes the conversation.

Then run the same workflow, and you can start asking:

  • How many people tell me they want to lose 10 pounds?
  • What’s my No. 1 objection?
  • How often do I hear a pricing objection?
  • Where can I improve my sales process?

Chris saw another use right away: “I could do the same thing with Goal Reviews.”

If three of your last five Goal Reviews mention double-unders, run a double-under clinic. If personal training keeps coming up, make content about it. Your clients are telling you what to sell and what to post. Now you can actually hear them.

Play 5: Run Profit First on Autopilot

Chris has recommended “Profit First” to gym owners for years. The idea is simple: Pay yourself first.

“If you’re broke at the end of the month and can’t pay the landlord, you’ll get really creative,” Chris said. “But when it comes to our own pay, we’re a little bit more lazy. We’ll blame a bad month, we’ll blame the economy, whatever, but we won’t get paid.”

In practice, every dollar that comes in gets split by percentage. For example, 15 cents goes to taxes and 30 cents to profit, with set percentages for expenses and owner pay. Each piece goes to its own account.

The problem is setup. John used to run it with five or six separate checking accounts, guessed at auto-transfer amounts and did a laborious “true-up” every month.

Now John uses Mercury, a bank with AI built into its app. (Two-Brain isn’t affiliated. John just likes it.) You tell it, “For every dollar that comes in, move X% here and Y% there,” and it sets up the sub-accounts and transfers by percentage.

What used to be a monthly chore becomes a one-time conversation.

Delegate, Don’t Abdicate

AI is powerful, but you can’t hand it the keys and walk away.

Chris’ advice: Start with the tasks you’re avoiding, the ones you’re scared of, don’t understand or hate doing. Do the task yourself first and define the workflow, just like you’d write a cleaning checklist before handing cleaning to a staff member. Then let AI run with it and check its work.

He compares it to supplements: “It’s not a replacement for the actual work, but it can make life a little bit easier.”

So pick one play from this list and try it this week.
